Common Keying Errors Found by Reviewers

Below is a list of common errors seen in the Perth Valuations project. Please refer to this list after reading the main Wiki page and the Perth Hints File.


Keying People, not Businesses or Properties

Perth Valuations will be an index of proprietor and tenant names only, not the properties. Any extra information will be able to be seen by the researcher when he/she views the image.

  • Therefore, do not key descriptions such as 'Trustees of' or 'Heirs of'
  • Please do not key proprietor company/church names, please key the proprietor fields as blank. If the company has no named tenant please ignore this line in the image.
    • An exception to the above is where a named individual is included in the company name, for example Harris and Co. In this instance please key Harris in the surname field.
  • If a person is described as 'Of Somewhere' please key only the person's name.
  • Do not key tenant entries such as 'unlet' or 'under £4.'
  • Tenant occupations should not be keyed
    • Be careful of misreading the occupation 'joiner' as 'junior'
  • If an entry shows 'per someone' this name is not keyed as they represent a company working for the proprietor.


General Keying Tips

  • The name M'Donald should be keyed as McDonald
    • The ' symbolizes a superscript c
  • 'Bart' is a legitimate suffix and should be keyed and F7ed
  • When a married woman has both maiden and married name listed such as 'Margaret McLean or Campbell' please key as one record with both surnames keyed to the surname field
    • The surname field should read 'McLean Campbell'
  • Check for misspellings before submitting. A typo on a proprietor with dozens of tenants will badly affect accuracy. Also, many of the names are quite similar and can easily be read as something else.
  • Do not key 'Junr/Jun' as 'Junior' -- key as seen
  • Do not key periods in names, but do key hyphens in names and titles
  • Do not key the word 'Widow'
    • eg: If the image reads 'Widow Murray' you should only key 'Murray' as the surname
  • To key 'His Grace, John, Duke of Athole' please enter it this way:
    • Prefix: His Grace / Given: John / Surname: [Blank] / Suffix: Duke of Athole


Image and Section Information

  • Header years should always be expanded to four digits - both years must be keyed.
    • eg: '1867-68' is keyed as '1867-1868'
  • Each image nearly always consists of two pages. Both pages should be keyed with a new section for the second page of the image.
    • Use this button on the keying tool to add a new section: Image:NewSectionButton.JPG
  • Many of the images have crossed out data. Please be aware that general keying standards state: "If information is crossed out without being replaced, key the crossed-out information. Otherwise, key the replacement information."


Tenant and Proprietor Keying

  • Do not key a proprietor name with the tenant fields empty and then key the same proprietor with a tenant. One line will suffice to cover both proprietor and tenant.


  • If the proprietor and tenant are the same person please key the persons name in the proprietor fields only.
    • This rule also applies when the name is stated slightly differently, but suggests the same person.
      • ie: When the proprietor reads 'Christina Murray' and the tenant reads 'said Miss Murray' -- do not key the tenant name.
    • Furthermore, when the tenant column includes any of the following words: 'aforesaid' or 'said' or 'proprietor' -- do not key the tenant name, as it is the same person as the proprietor.


  • When there are two named proprietors with a number of tenants, please key the first proprietor's name once against the first tenant, with the remaining tenants keyed against the second proprietor name only.
    • The last proprietor on a list of proprietors should be copied down to match the number of tenants - all other proprietors on the list should only have their name keyed once


  • If a proprietor and tenant combination appear further down a section page and have already been keyed then they do not need to be keyed again.

Q: Suffix 'MD'  means Doctor of Medicine - is it a job description (not to be keyed) or equivalent to 'Dr' (which is keyed) ?

A: The suffix MD should be keyed, (keyed as MD not M D)


Question:  How would "Jas. Stewart Robertson of Edradynate and others, trustees of the late John Stewart Hepburn of Colquhalzie, per J. & A. F. Adam, W.F." be entered under the proprietors? 

A: Given name: Jas Stewart; Surname: Robertson. No other entries for the proprietor. --Paulmd199 20:01, 2 May 2011 (UTC) In addition a seperate record for John Stewart Hepburn should also be entered. Please see the note covering this in the Perth Hints file.
